Annual General Meeting Minutes - 2009

 

Meeting Scheduled:

Sunday 25th Oct 2009 – Z Car Racing, 14 Kenway Drive, Underwood Qld.

President’s Report:

• Thanks to Alan Stean for providing the venue for the AGM – spiritual home of the Z Car Club Q Inc.
• NDN09 a successful Nationals and thanks to all committee and sub-committee who made it happen.  More positive feed-back than negative.
• Overall a good year of activity although improvements can be made in respect of social activities and better communication by newsletters and web site
• 25th Club and 40th Zed Birthday event went very well.  Special thanks to Aubrey Hughes, Allan Cunningham and William Hastie for organising.
• Motorsport activity continues to be strong and well supported.

 

Treasurer’s Report:

• General club account: -  Closing balance = $8,804.80
• NDN09 account – Closing Balance = $2,499.75 (with outstanding payments still owing – should break close to even).
• Records are yet to be audited.

 

Secretary’s Report:

• Members = 63
• Associate members = 14
• Life Memeber = 1 (Alan Stean) – No renewal fee.
• Patron Member = 1 (Lofty Drews) - No renewal fee
• Club Rego letters = 7
• Club PO Box – Currently using secretary’s private PO Box as club box has lapsed.
• Committee Meetings = 10
• Club Records – Pre and post Nationals correspondence e.g. Letters of thanks to sponsors and champions etc.
• Membership database has been converted to an Excel from Access to simplify multiple users.  Need to separate member secretary and club secretary roles. 

 

Previous AGM Minutes:

• Previously supplied.  Agreed and acknowledged as an accurate representation of the meeting proceedings.

 

Business Arising:

• Classic Japanese Show and Shine – Now rights relinquished to Ray Ferguson to promote and run.  No Z Car Club Q Inc involvement.  No financial legacy or encumbrance on either parties part.

• Dissolve executive and committee positions and appoint new committee
